No Show & Cancellation Policy

Barrington Oaks Veterinary Hospital LLC strives to provide high quality, individualized medical care in a timely manner to all patients. As such, we do our best to be on time for your scheduled appointments and ask the same of you.

We understand that life happens and things change, which in turn may cause clients to cancel or reschedule their appointments. However, when you do not call in advance to cancel an appointment, you are preventing another pet from receiving veterinary care. As a courtesy, we provide reminder calls/texts/emails before your appointment. Even if you are unable to be reached through any of your preferred means of communications, this policy remains in effect.
Below, our no show and cancellation policies are outlined.

Late Arrival Policy: If you and your pet arrive 15 minutes or more after your scheduled appointment time, it is at the doctor’s discretion if they can still accommodate your appointment or if you will need to reschedule your pet’s appointment to a different day. If the doctor is able to take your appointment you may be asked to wait as they work you into their schedule. It only takes one late appointment to negatively impact the rest of the day’s schedule. In addition, rushing or “squeezing in” an appointment shortchanges the patients and contributes to decreased quality of care.

Cancellation of an Appointment: If you must cancel an appointment, we ask that you please provide 24 hours’ advance notice. Appointments are in high demand, and your early cancellation will allow another patient access to timely veterinary care.

If you do not reach a receptionist, you may leave a detailed message on our voicemail. If you would like to reschedule your appointment, please leave your name and phone number. We will return your call promptly.

No Show Policy: A “no show” is a client who misses an appointment without canceling it. A failure to be present at the time of a scheduled appointment will be recorded in the patient’s chart as a “no show.”

No show penalties for clients:

  • 1st No Show – Phone call to inform you of the missed appointment stating that you have been counted as a No Show for that appointment and a reminder of our “no show” policy. You will be required to prepay the nonrefundable exam fee to schedule another appointment which will be put towards that visit.
  • 2nd No Show – Phone call + no refund of the exam fee. You will be able to reschedule one final prepaid appointment at an additional exam fee cost.
  • 3rd No Show – Written notice + exam fee will not be returned. Your veterinarian will decide if he/she will terminate you as a client.

Barrington Oaks Veterinary Hospital CC understands that there may be times when an unforeseen emergency arises. These policies are at the management’s discretion.

Exotic Exam Policy

We at Barrington Oaks Veterinary Hospital LLC strive to provide high quality, individualized care for all our patients. No-shows, late shows, and cancellations inconvenience those clients and their pets who are in need of veterinary care.

Due to the increase in “no show” appointments for our exotic patients we are having to implement this exotic exam policy as follows.

Exam Appointments: If a client is scheduling an exam and it has been 6 months or more since the last scheduled exam, we will need to hold a card for the appointment.

New Client Exotic Exams: Any new client requesting an exotic exam will need to have a card held for their initial exam.

Re-check Appointments: All re-check appointments must have a card held on file. If the client needs to cancel or reschedule the re-check appointment, they must give 24 hours’ notice to cancel or reschedule.

Failure to do so will result in the client being considered a “no show” for their appointment and additional penalties could be incurred.
